This notice explains how personal information is handled by Vellise Collectibles Manager, including its optional, read-only connection to an eBay seller account.
Who is responsible

What the application does
Vellise Collectibles Manager is a Windows desktop application used to manage a collectibles catalogue, local stock records and product images. If you choose to connect an eBay seller account, the application requests the eBay sell.inventory.readonly permission. It retrieves inventory SKUs, quantities and related offer information such as offer or listing identifiers, titles and statuses, then displays a temporary comparison with the local catalogue.
The eBay integration is read-only. It does not create, revise or end eBay listings, change eBay quantities, retrieve buyer or order details, or write the retrieved eBay inventory and offer results into the application's local stock database.
Information handled and why
- eBay authorisation information: the eBay refresh token and application credentials are kept in the Windows operating-system credential store so the application can access the seller account after consent. Short-lived access tokens are handled in memory.
- eBay inventory and offer information: SKU, quantity, offer/listing identifier, title and status are retrieved from eBay and held temporarily in the application while the comparison is displayed. They are not saved to the application's catalogue or stock database by the read-only comparison.
- Local business records: catalogue, stock and transaction information you enter is stored in a local SQLite database on the Windows computer. Product photographs and image records are handled through the configured Cloudflare R2 storage workflow.
- Messages to us: if you email the contact address, we receive your email address, message and any information you include, in order to respond and keep necessary business correspondence.
- Visits to this notice: Cloudflare hosts this page and may process technical request information, such as IP address, browser details and request time, to deliver and protect the site.
Lawful bases
Where UK data-protection law applies, the lawful basis is our legitimate interests in operating and securing our business, managing our own catalogue and stock, and providing an optional read-only view of our own eBay inventory. We consider these interests against the privacy impact and limit the eBay access requested to the read-only inventory scope.
We use information in messages to respond to your enquiry and, where relevant, to take steps you ask us to take or meet legal obligations.
Who receives information
The application communicates with eBay to perform the authorised read-only retrieval. Cloudflare provides DNS, website hosting, image storage and email forwarding services used by Vellise Collectibles. Microsoft provides the Outlook mailbox to which messages sent to info@vellise.co.uk are forwarded. These providers process information under their own terms and privacy information. We do not sell personal information.
International processing
eBay, Cloudflare and Microsoft may process information in countries outside the United Kingdom. Where applicable, the relevant provider is responsible for using a lawful transfer mechanism and safeguards. Their privacy information is available from eBay, Cloudflare and Microsoft.
How long information is kept
The eBay comparison is temporary and is discarded when you close it or the application ends. The eBay refresh token remains in Windows Credential Manager until you remove the authorisation or replace/remove the credential. Local catalogue and stock records remain on the computer until you delete them or remove the application data. Email correspondence is kept only for as long as needed to handle the enquiry and maintain necessary business records. Cloudflare handles technical website request data under its service terms and retention practices.
Your choices and rights
You can disconnect the eBay authorisation by revoking the application's access through your eBay account and remove the locally stored credential through Windows Credential Manager. You can also contact us to ask about personal information associated with your enquiry or eBay authorisation.
Depending on the circumstances and applicable law, you may have rights to access, correct, erase or restrict personal information, object to processing, and receive information in a portable form. To exercise a right, contact info@vellise.co.uk. We may need to verify your identity. Some rights are subject to legal limits.

Changes to this notice
We may update this notice when the application or its data handling changes. The date at the top shows when it was last updated.
